Approvals are the spine of internal control. A miscalibrated policy either blocks activity or lets risk slip through. Procura treats approval workflows as a first-class object, versioned, audited, delegatable, testable. You define the rule, the engine enforces it on every document (requisition, PO, invoice, payment).
Each policy is a set of ordered steps. A step may require a single sequential approver, multiple parallel approvers with quorum, or a conditional workflow based on amount.
Trigger a policy by department, amount range, purchase category, vendor, cost center or project. Multiple policies can coexist; the most specific one applies.
An approver can delegate authority to another user during leave. Delegation is logged, dated and revocable. No PO is blocked by an absence.
The PO initiator cannot be their own final approver. The goods receiver differs from the payer. The invoice approver differs from the payer. Toggleable per organisation per your policy.
Email + in-app on every document awaiting action. Reminders configurable (e.g. +24h, +48h, escalation at +72h). Per-approver dashboard of pending items.
Each approval carries name, role, timestamp and electronic signature. Exportable to PDF for external auditors. Retention compliant with the OHADA statutory period.
As many as needed. In practice, an SME uses 2 to 3 levels, a mid-market firm 3 to 5, a large group 5 to 7. The structure is arbitrary, you mirror your actual org chart.
You can reassign their pending approvals to another user or role. No document is lost. For historical approvals, the original approver's record is preserved for audit.
Yes. Every policy change is logged with effective date. Documents approved before the change keep their history under the prior policy. Full audit.
An admin can trigger a tracked bypass (admin_bypass_approval). The action is logged with actor, captured reason and timestamp. For real emergencies, never as a routine workaround.
Yes. You configure a separate policy for PO-less invoices (e.g. systematic CFO approval above 1,000,000 XOF). Traceability is identical.
Today: email and in-app on the web app. Native SMS and WhatsApp are not in the current release. Most finance teams use email, which remains the official audit channel.
